Onkyoo Privacy Policy
This Privacy Policy explains how Onkyoo Ltd ("Onkyoo", "we", "our", or "us") handles information when you use the Onkyoo browser extension and website.
Onkyoo provides a coordination layer that helps participants in online meetings or collaborative workspaces stay on time using shared pacing and agendas.
We are based in the United Kingdom and process information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
1. The Services Covered by this Policy
This Privacy Policy applies to:
- The Onkyoo browser extension
- The Onkyoo website (onkyoo.com)
- The Onkyoo collaboration session service
It does not apply to third‑party services such as Google Meet, Zoom, Microsoft Teams, Google Docs, Figma, Notion, or any other external platform where you may use Onkyoo.
2. Information We Process
Onkyoo is designed to minimise the amount of personal data collected.
When you use the extension or join a session, the system may process limited technical information necessary to operate the service, including:
- session codes used to join sessions
- timing and agenda information for the session
- technical identifiers used to synchronise participants
- information about whether participants are currently connected to a session
- basic server request logs used to operate and secure the service
Onkyoo does not collect meeting content, documents, messages, audio, video, or the content of collaboration pages.
3. Collaboration Page Detection
The extension may detect when you open a collaboration page (for example a meeting page or shared document) in order to determine whether an Onkyoo session is associated with that page.
This detection uses information from the page address (URL) only. The extension does not read the contents of the page.
4. Participant Presence
When you join a session, the service maintains a temporary technical record that allows the system to determine how many participants are currently connected to the session.
Participants are not identified by name or account unless you separately choose to sign in to the website.
5. Local Browser Storage
The extension stores limited information locally in your browser in order to function properly.
This may include:
- a randomly generated connection identifier
- temporary session information
- user preferences such as interface settings
This information is stored locally on your device and is not used to personally identify you.
6. Session Information
Session information may include agenda items, session timing, and technical identifiers that allow the service to synchronise collaboration features across participants.
Session records may remain stored on our servers after a session ends for operational, debugging, and service improvement purposes. These records are not publicly accessible through the application once a session has ended.
7. Website Accounts (Optional)
The browser extension can be used without creating an account.
If you choose to sign in on the Onkyoo website using Google authentication, we may store:
- your name
- your email address
- your Google account identifier
This information is used only to provide website functionality and is not required to use the extension.
8. Third‑Party Services
We use certain third‑party services to operate Onkyoo, such as:
- infrastructure hosting providers
- Google Fonts used by the website
- Google authentication when users choose to sign in
These providers may process network information such as IP addresses as part of delivering their services.
9. Cookies
The browser extension does not use cookies.
The website may use cookies if you choose to sign in to maintain authentication sessions.
10. Legal Basis for Processing
Under UK GDPR, our primary legal basis for processing information is legitimate interests. Processing is necessary to operate the Onkyoo service, provide real‑time collaboration features, and maintain the reliability and security of the platform.
11. Data Security
We use industry‑standard security measures to protect information processed by the service. All communications between the extension, website, and our servers are encrypted using HTTPS or secure WebSocket connections.
12. International Data Transfers
Where our infrastructure providers process information outside the United Kingdom, we ensure appropriate safeguards are in place in accordance with UK data protection law.
13. Your Data Protection Rights
Under UK data protection law, individuals may have rights including:
- the right to request access to personal data
- the right to request correction of inaccurate data
- the right to request deletion of personal data
- the right to restrict or object to processing
You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO).
14. Changes to this Policy
We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of the policy.
